Watercraft Retailer Sails into a Merged Microsoft Tenancy

One of the world’s largest watercraft retailers, the customer emphasizes a range of services, expertise, and support to help their clients have transformative experiences on the water. They have been in business for over 40 years, and recently acquired a major competitor to further expand operations.

Environment

The customer had built much of its infrastructure using Microsoft solutions, including Office 365, Entra ID, Exchange, and OneDrive.

Challenge

The customer needed to migrate the newly acquired company’s Microsoft Office 365 (O365) tenant data and functionality into their existing O365 environment, ensuring a unified and efficient digital workspace. This tenant consolidation required careful planning and execution to ensure seamless integration with minimal downtime or disruption of operations. Sentinel offered to help guide them through this complex process, which involved reviewing and migrating various components, including Entra ID users and groups, Exchange Online mailboxes, and user profile folders to the customer's OneDrive document libraries.

Solution

Sentinel’s comprehensive solution addressed the customer’s challenges through a structured approach:

  • Assessed up to 400 Active Directory Domain Services (AD DS) users, 400 Exchange Online mailboxes, 80 Entra ID groups, 80 AD DS groups, and 80 Exchange Online shared mailboxes.
  • Identified pilot objects and created necessary object maps, including mail address and username suffix changes.
  • Configured Quest On-Demand Migration (ODM) tenants and integrated them with up to two O365 tenants.
  • Set up ShareGate instances for file share configurations.
  • Created object mappings within migration software and staged objects within the destination Entra ID tenant.
  • Conducted a pilot migration of five distinct objects to validate functionality.
  • Developed a detailed migration plan, including up to five cutover windows for implementation.
  • Aligned with the customer's change management processes to ensure a smooth transition.
Throughout the project, Sentinel ensured optimal coordination of resources, tracking progress, and managing timelines to achieve complete project success.

Results

Sentinel successfully delivered a seamless O365 tenant consolidation for the customer, completing the migration of hundreds of users, mailboxes, groups, and OneDrive libraries while avoiding unplanned downtime. The structured approach ensured uninterrupted user access to email, collaboration tools, and files throughout the transition. All identity objects, shared mailboxes, and user data were accurately mapped, migrated, and fully operational in the customer’s tenant immediately after cutover, creating a unified and efficient digital workspace.

Sentinel’s extensive multi‑tenant migration expertise proactively addressed identity conflicts, permission mapping, and cross‑tenant data flow challenges before they impacted the project. Custom alignment with the customer’s change management processes, combined with their rigorous project governance, resulted in predictable timelines and smooth communication throughout the project.
