Sentinel utilizes NetSuite for ERP (Enterprise Resource Planning) and CRM (Customer Relationship Management), as well as ServiceNow for IT service and operations management. Microsoft 365, Cisco and Pure FlashStack data centers, Microsoft Azure, along with multiple generative AI solutions can also be found in their environment.

Challenge

Successful projects require highly engaged project management and service delivery teams. Sales and pre-sales technical teams create detailed scopes of work for both one-time and ongoing services. These scopes often involve intricate details and careful milestone tracking. Converting complex scopes and contracts into a clear project plan is time-consuming, resource intense, and challenging, so Sentinel wanted to simplify and streamline that process through the use of generative AI.

Solution

Sentinel developed a generative AI solution called Illuminate to transform complex work scopes into detailed project plans. Project managers used Illuminate to convert a scope of work into a Microsoft Project-compatible Gantt chart with milestones and linked steps.

The solution involved Sentinel’s CloudSelect® on hosted VMware connecting directly to Azure OpenAI services. Azure OpenAI handled AI training and Retrieval-Augmented Generation (RAG) to create the initial Gantt chart for project managers who then added resources and critical dates, ensuring alignment with customer expectations.

Results

Thanks to generative AI and a standardized project template, Sentinel's EPMO (Enterprise Project Management Office) improved efficiency, accelerated delivery, and reduced costs for project services. Customers benefitted from faster turnarounds and better value, while project managers were able to concentrate more on delivering outcomes.

The new Illuminate PM solution produces nearly instant Gantt charts from complex scopes of work. Sentinel project management plans to further utilize AI for developing project plans, summarizing meetings, and achieving optimal customer outcomes.
