Revolutionizing RFP Responses with AI

Environment

The customer utilized Microsoft 365, Cisco and Pure FlashStack data centers, Microsoft Azure for cloud, as well as ChatGPT for generative AI within their environment.

Challenge

As an IT solutions and services firm, the customer worked with a variety of industries, many of which used an RFP (Request for Proposal) process for making IT decisions. The customer responded to thousands of highly competitive RFPs annually, which were often very lengthy, included hundreds of questions, and required a great amount of collaboration between internal departments, including sales, sales support, administrators, as well as line of business managers. If this RFP process were automated, the customer would save significant time, resources, and money.

Solution

Sentinel developed and deployed an exclusive application named Illuminate, which offered a range of options within an RFP response system. Illuminate employed a vector database to facilitate semantic search and similarity matching for natural language processing (NLP). It integrated generative AI (ChatGPT) securely through Microsoft Azure.

To ensure robust AI governance and policy enforcement, Illuminate was hosted within Sentinel CloudSelect® secure private hosting centers and connected via a private link to Microsoft Azure GPT services. The solution leveraged an extensive repository of RFP responses accumulated over the years by the customer, providing the model with precise training data while minimizing inaccuracies. Data was regularly labeled and trained, and a continuous feedback loop ensured responses remained current and accurate. 

Results

The customer deployed Sentinel's Illuminate AI solution to its sales team. It reduced the time to convert, format, and answer RFP questions from weeks to minutes. Initial RFPs were uploaded with responses added by generative AI based on synthetic labeled data for optimal accuracy. It enabled them to quickly review, customize, and submit RFP responses, scaling delivery using fewer human resources, increasing the speed to respond, and significantly lowering costs.

Sentinel Illuminate continues to grow and evolve, with new capabilities that leverage generative AI.
